This notice covers information collected through this website and the initial enquiry process. A separate privacy notice may apply when we act for a client.
Information we collect
When launched, the enquiry form will collect your name, email address, optional phone number, service needed, business type, preferred time for a call, message and confirmation that you have read this notice. We will also keep the submission time, delivery status, automatic acknowledgement and correspondence needed to answer the enquiry.
The website may collect basic security and technical information, including IP address, browser, device, pages requested and cookie choices. The Deadline Finder may use a company name or number, public Companies House information and answers about reporting periods or registrations.
Do not send passwords, bank details, identity documents, complete accounting records, health information or other sensitive material through ordinary email or the planned general enquiry form. If confidential records are needed, we will agree a secure method.
Why we use personal information

- Consider and arrange an introductory call: steps at your request before a possible contract.
- Operate and secure the website: legitimate interests in providing, protecting and troubleshooting the website.
- Provide Deadline Finder results: steps at your request and legitimate interests in operating the requested tool.
- Meet legal and regulatory duties: legal obligation.
- Establish or defend legal rights: legitimate interests and, where applicable, legal-claims conditions.
The planned consent tick box will confirm that you have read this notice and agree to the form being used to respond to the enquiry. We will not treat it as consent to unrelated marketing.
Forms, acknowledgements and email delivery
The planned website form will use Fluent Forms. FluentSMTP will send the submission and automatic acknowledgement through Brevo using enquiries@ifmuk.ac as the sender. Brevo will act as an email-processing provider and may process names, email addresses, message content and delivery metadata to transmit and report on those emails.
Incoming mail to enquiries@ifmuk.ac is forwarded by Porkbun to the Gmail mailbox selected by IFM. The forwarding arrangement is not changed by the website form setup.
An automatic acknowledgement confirms receipt only. It does not mean IFM has accepted an engagement or given advice.
Who we share information with
We share information only where needed with providers acting on our instructions, including the website host, Fluent Forms, FluentSMTP, Brevo, Porkbun, the destination Gmail service and security or technical-support providers. We may also disclose information where required by law, to a regulator or public authority, or to professional advisers where necessary.
We do not sell personal information.
International transfers
Some providers may process information outside the UK. Where UK data protection law requires a safeguard, we use the provider’s applicable contractual transfer terms, an adequacy regulation or another permitted mechanism. Provider terms and locations are reviewed as part of implementation and supplier review.
Retention
Enquiry-form records, acknowledgements and related correspondence are kept only for as long as needed to answer the enquiry, decide whether to work together, manage follow-up, protect the website and meet legal or regulatory duties. Records connected with an accepted engagement are then kept under the engagement and professional-record retention arrangements.
Spam and security logs are kept only for the period needed to detect abuse and protect the service. Suppression information may be kept where necessary to respect an opt-out or prevent repeated unwanted contact.
Cookies
Essential technologies may be used for security, spam prevention, form operation and recording privacy choices. Non-essential analytics, advertising or embedded-service technologies are not enabled without the required choice. See the Cookie policy.
Your rights
Depending on the circumstances and lawful basis, you may have rights to be informed, obtain access, correct inaccurate information, request erasure or restriction, object to particular uses, receive certain information in a portable form and withdraw consent where consent applies. These rights are not absolute where the law permits or requires continued use.

Complaints
Please contact enquiries@ifmuk.ac first so we can consider the concern. You also have the right to complain to the Information Commissioner’s Office through its current routes at ico.org.uk/make-a-complaint.
Security and changes
We use proportionate technical and organisational measures intended to protect information, but no internet transmission or storage system can be guaranteed completely secure. We may update this notice when the website, providers or law changes; the review date will identify the current version.
